This Privacy Policy explains how Smart Cascadia LLC (“we,” “us,” or “our”) collects, uses, and protects information when you use Youth Ministry Planner (“the Service”). By using the Service, you agree to the practices described here.
1. Information We Collect
Account Information
When you sign in with Google, we receive your name, email address, and Google profile picture. We use this only to identify your account.
Ministry Profile
You provide information about your ministry context: denomination, worship style, speaking pace, available facilities, meeting schedule, and leadership preferences. This is used to personalize AI-generated content for your specific setting.
Meeting Plans and Content
We store the meeting plans, lesson outlines, game descriptions, worship guides, and other content you create or save within the Service.
Attendance and Debrief Records
If you use the attendance and debrief features, we store the records you enter, including dates, attendance counts, and notes about your meetings.
Usage Data
We may collect basic technical data such as the type of device you use, pages visited within the Service, and error logs. This helps us improve the Service.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the Service
- Generate personalized AI content based on your ministry profile
- Process subscription payments
- Send service-related communications (billing receipts, account notices)
- Respond to support requests
- Comply with legal obligations
We do not sell your personal information. We do not use your information for advertising.
3. Data Storage
Your data is stored using Google Firebase, a cloud database service operated by Google LLC. Data is stored on Google’s servers and is subject to Google’s security standards. For more information, see Google’s Privacy Policy.

We work with the following third parties to operate the Service:

5. AI Content Generation
When you request AI-generated content, the relevant details from your ministry profile and meeting structure are sent to Anthropic’s Claude AI models to generate your plan. This means portions of your ministry information are processed by Anthropic’s AI systems.
We do not send personally identifiable information about youth group members to AI services. We recommend you not include full names of minors in fields that are used for AI generation.
To operate the Service reliably for all users, we track how much AI generation each account uses against a weekly usage limit (see our Terms of Service for details). This usage tracking is tied to your account and the cost of each request — it is not used for any purpose beyond measuring and enforcing that limit.
6. Data Involving Minors
Youth Ministry Planner is designed for use by adults. The Service is not directed at children under 13. If you choose to enter information about youth group members (such as attendance records), you are responsible for ensuring you have appropriate authorization to collect and store that information.
We recommend using first names only or anonymized identifiers for youth group members. Do not enter sensitive personal information about minors into the Service.
7. Data Security
We take reasonable steps to protect your information, including using HTTPS encryption for all data in transit and relying on Google Firebase’s built-in security features. However, no system is completely secure. We cannot guarantee the absolute security of your data.
8. Data Retention
We retain your data for as long as your account is active. If you cancel your subscription and close your account, we will delete your data within 90 days, except where we are required by law to retain it longer.
You may request deletion of your account and data at any time by emailing support@youthministryplanner.com.
9. Your Rights
You have the right to:
- Access the data we hold about you
- Correct inaccurate information
- Delete your account and associated data
- Export your meeting plans and ministry data (contact support for assistance)

10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. The “Last updated” date at the top of this page reflects when the policy was last revised.
